ECM (Enterprise content management ) - is a set of technologies used to capture, store, preserve and deliver content and documents and content related to organizational processes. ECM tools allow the management of an organization's unstructured information, wherever that information exists.

ECM employed the technologies and strategies of content management to address business process issues, such as records and auditing, knowledge sharing, personalization and standardization of content, and so on.

Like the content of your website or intranet, planning and governance is technology agnostic; whether its SharePoint or another portal or content management platform, the necessity for and the approach to governance is the same. Given its technology neutral status in the realm of website and intranet evolution this module on planning and governance is largely applicable to any technology platform and as such is generic to start.
The estimable Colin White has recently deconstructed how "Web 2.0 in your enterprise portal" can mean different things, specifically newfangled user interfaces versus newfangled collaboration approaches. White contrasts the approaches taken by 2 award-winning enterprise portals selected at the Portals conference he runs (a very good conference, btw). They were web agency Avenue A|Razorfish and consulting firm Accenture. Interestingly, Accenture used formal portal software (MS SharePoint 2003), while Avenue A|Razorfish did not. Before you try to replicate their success, however, note that both appear to emphasize content tagging (read: extra work) and the two firms surely boast a techno-forward employee base...
The Windows SharePoint Services (WSS) implementation divided the basic portal view into two main tabs: Active Patients and Inactive Patients. These two tabs are further divided into four sections: Demographics, Test Results, Progress Notes, and Consults. Documents were captured and migrated intothe portal in two phases: active patient charts followed by inactive patient charts. The inactive charts must be kept until each patient turns 28 years old. UV&S receives ad hoc requests from the Clinic to make a wide variety of new documents instantly active on the portal. The announcements section ofWSS is used to notify Clinic users when these documents are active on the portal site. The overall look and feel of the portal was customized to match the public facing web site of the Clinic.The first attempt at using document capture and content management technology for patient records was undertaken by the Clinic, using desktop scanners and a new EMR (Electronic Medical Records) system
Both IBM and Microsoft are investing heavily in major new releases to their content management and portal product offerings due out next year. Microsoft has been more open than IBM about details, but many users are already realizing that much will need to be changed and redone to implement the new versions. While we wait for the next step, both vendors are releasing service packs with Microsoft making SharePoint Portal Server 2003 SP2 available earlier this week. Even though it is “just” a service pack, most IT organizations easily spend dozens of hours rolling them onto the servers and typically days or weeks of testing. This is a cost that can hardly be avoided but is rarely included in planning and budgeting.
